This article is for librarians who need to support students, faculty, and staff accessing Web Suite through the institution’s site license subscription. The information here assumes that Web Suite Site License has been set up by the Visible Body Fulfillment Team and IT professionals at your institution.
After speaking with a Visible Body Education Team representative and purchasing Web Suite Site License for your affiliates, there are two ways for students, faculty, and staff to access and create an account. Either by using your institution’s proxy or by being on your institution’s network.
Once an account has been set up through the institution's proxy or network, Web Suite can be accessed from any computer at https://websuite.visiblebody.com
On-campus & off-campus access
Proxy access is for anyone off-campus or not in the IP range of the institution’s network. The steps to sign up, create an account, and start using Web Suite using off-campus access can be found in this article.
IP range setup is for anyone on-campus and logged in to your institution’s network. The steps to sign up, create an account, and start using Web Suite through IP range validation can be found in this article.
Both articles inform account creators that because they are logged in through the proxy or through a school's IP address, the account creation process will bypass the purchase screen. If they see a purchase screen they are directed to check their access.
Account Creation with Google
Students, Faculty, and Staff can use the Google account associated with their institution to log in quickly and easily to Visible Body apps. After Account Creation
After account creation is complete, users are brought to Web Suite. On the Web Suite Homepage, students, faculty, and staff can access the Web Apps and download the mobile app. For more help with mobile downloads, see this article.
After initially creating an account, Web Suite access is granted for 150 days. This expiration date is also reflected in the dropdown menu on their Web Suite page:
After creating an account, log into Web Suite from anywhere by returning to https://websuite.visiblebody.com, for the next 150. Account users will receive reminders before Web Suite access expires with instructions to log into Web Suite using either the institution's network or proxy to renew access.
Error messages and troubleshooting
Most connection or access issues can be solved by logging in while connected to the institution's network.
If a Web Suite Site License user whose access has expired tries signing in to Web Suite, but they are not on your institution’s network or using your institution’s proxy, they'll receive this error message:
- Instruct the user to sign in to their Web Suite account while connected to the institution’s network or using the institution’s proxy. If they need further assistance with refreshing their access using either method send them this article.
If the institution's site license has expired, users who try to access Web Suite using their account will see this error message:
- If the institution's site license expires users will be given a 7-day grace period to access Web Suite. After that, they will be offered a discount to purchase Web Suite individually.
